Setting up staff and PIN login
Every staff member logs into the till with their own PIN or staff card. That way every order, discount and tip is tied to a name, and you decide per role who can, for example, void items or run the day-end closing.
Step by step

Create a staff member
Go to Settings › Staff and add a new staff member with a name and optionally an hourly rate for labour cost reporting.

Choose a role
Assign the staff member a role, for example service, bar staff, manager or admin. The role determines which screens and actions are available.

Assign a PIN
Set a unique PIN. To use a staff card instead, scan its barcode into the field — logging in is then a single scan.

Set automatic sign-out
In Settings, decide after how many inactive minutes a user is automatically signed out. You can set this separately for the till and for handhelds.

Test the login
Lock the till and log in with the new PIN or card. On the first sign-in of the day you'll be asked to clock in.
Good to know
- Working with multiple locations? Sync staff and PINs to the other branches in one go.
- Choose a short sign-out time for handhelds left on the bar and a longer one for the fixed till.
- Tips and revenue are recorded per staff member, so a shared PIN makes reporting useless.
Frequently asked questions
How many staff members can I create?
That depends on your plan; the number of users per plan is shown in the comparison table on the pricing page.
Can I log in with a barcode scanner?
Yes. Scan the staff card's barcode into the staff member's PIN field; from then on they log in with a single scan at the till.
What happens if someone forgets their PIN?
An admin opens Settings › Staff and sets a new PIN there. The old code stops working immediately.
